PSOps Privacy Policy

This Privacy Policy explains how Volunteer Technology Systems, doing business as PSOps, collects, uses, protects, and shares information in connection with psopsapp.com and the PSOps service.

1. Who We Are

Volunteer Technology Systems, doing business as PSOps ("PSOps," "we," "us," or "our"), provides software and technology services for fire departments, emergency service organizations, and other authorized public-safety organizations.

2. Information We Collect

Depending on how you interact with PSOps, we may collect information such as your name, organization, email address, mobile phone number, account identifier, username, role, permissions, support communications, and other information necessary to provide and support the service.

We may also collect technical and security information such as IP address, browser or device information, login activity, timestamps, application activity, diagnostic information, and security events.

Authorized departments may use PSOps to maintain operational records such as personnel, scheduling, training, incident, apparatus, reporting, and other department information. Those records are handled in accordance with the applicable customer agreement, department authorization, and applicable law.

3. How We Use Information

We use information to provide and operate PSOps, authenticate users, maintain account security, provide customer support, deliver authorized notifications, administer subscriptions, improve service reliability, prevent misuse, troubleshoot technical issues, and comply with applicable legal obligations.

4. SMS Messaging Privacy

When a user voluntarily opts in to PSOps SMS messaging, PSOps may collect the mobile telephone number, SMS consent status, consent source and time, message delivery information, and SMS responses necessary to operate the messaging service.

Mobile information, SMS opt-in data, and SMS consent are not shared, sold, rented, or transferred to third parties or affiliates for marketing or promotional purposes. We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes.

PSOps SMS messages are operational communications and may include training reminders, scheduling notifications, report reminders, account notifications, department announcements, and other department operational updates. Message frequency varies based on department activity and user notification settings. Message and data rates may apply.

Users may reply STOP at any time to stop receiving PSOps SMS messages. Users may reply HELP for assistance. SMS consent is voluntary and is not required to purchase PSOps services or maintain access to the PSOps platform. Essential service or security information may continue through other permitted communication channels after SMS consent is withdrawn.

5. Sharing of Information

We may disclose information to authorized department personnel and to service providers that perform functions necessary to operate PSOps, such as hosting, infrastructure, security, email, communications, support, mapping, billing, or other authorized technology services.

We may also disclose information where required by law, legal process, or a valid governmental request, or where reasonably necessary to protect the security, integrity, rights, or safety of PSOps, its customers, or users.

6. Security and Retention

PSOps uses administrative, technical, and operational safeguards designed to protect information against unauthorized access, loss, alteration, or disclosure.

Information is retained for as long as reasonably necessary to provide the service, meet contractual obligations, maintain security and audit records, comply with applicable retention requirements, and satisfy legal obligations.

7. Your Choices

You may contact PSOps regarding applicable access, correction, or privacy requests. Requests concerning department-controlled operational records may be directed to the department responsible for those records.

For SMS communications, reply STOP to an SMS message to opt out of future SMS messages from that messaging program. Reply HELP for assistance.

8. Changes to This Policy

We may update this Privacy Policy when our services, practices, or legal obligations change. The effective date displayed on this page identifies the current version.
